LeaseVault is a product owned and operated by R Matias 55 Studios, Ontario, Canada.

Important
LeaseVault is a record keeping and workflow tool. It is not a law firm, paralegal practice, accounting firm or property manager, and nothing it produces is legal, tax or financial advice. You remain responsible for every filing, notice and tax return you make.
1. Acceptance of these terms
By creating an account or otherwise using LeaseVault, you agree to be bound by these Terms of Service and by our Privacy Policy. If you do not agree, you must not access the platform. You confirm you are at least eighteen years old and able to enter a binding agreement.
2. The service
LeaseVault provides rent ledgers, digital receipts, expense and CRA category tracking, utility invoicing, document storage, tenant messaging, compliance date tracking, Ontario Landlord and Tenant Board form assistance and evidence package compilation. Features may change, improve or be retired as the product develops.
3. Accounts and security
You are responsible for the confidentiality of your login credentials and for all activity under your account. Notify us immediately of any unauthorised use. Accounts are for the named account holder and their invited co-landlords; credentials must not be shared or resold.
4. Subscriptions, trials and billing
- Paid landlord plans are billed monthly in Canadian dollars through Stripe and renew automatically until cancelled by the account owner.
- Free trials convert to a paid subscription at the end of the trial period unless cancelled before it ends.
- Cancelling stops future renewals. Access continues to the end of the paid period. Partial periods are not refunded unless required by law.
- Plan limits, including the number of units, are described on the pricing page at the time of purchase. Prices may change with at least thirty days notice.
- Failure to pay may result in suspension of paid features. Your records remain available for export for a reasonable period.
5. Tenant access
Tenants use LeaseVault free of charge through a secure invitation issued by their landlord. A tenant may view only their own unit's records. The tenant portal remains active while the inviting landlord's subscription is in good standing.
6. Landlord responsibilities
By using LeaseVault you agree that you are solely responsible for:
- The accuracy of every figure, date and tenant detail you enter, including rent amounts, payment records, lease dates and last rent increase dates.
- Serving notices in a manner permitted by the Residential Tenancies Act and the Tribunals Ontario Rules of Procedure, and obtaining valid tenant consent before serving documents electronically.
- Reviewing every generated notice, ledger, receipt, evidence package and tax export before relying on it or filing it.
- Handling tenant personal information lawfully, including collecting only what the tenancy requires and keeping it confidential.
- Complying with all applicable tenancy, human rights, privacy and tax law.
7. No legal, tax or financial advice
LeaseVault automates calculations and timelines as a clerical aid. This includes rent guideline increase limits, N1 and N2 notice timing, N4 arrears totals, termination date suggestions, prorated charges, arrears aging and CRA expense categorisation.
These outputs are generated from the information you enter and from published rules that can change without notice. They are not a legal opinion, not a tax filing, and not a substitute for advice from a licensed paralegal, lawyer or accountant. You should have any contested matter reviewed by a qualified professional before filing.
We do not guarantee that a notice, form or evidence package prepared with LeaseVault will be accepted by the Landlord and Tenant Board, or that any tax treatment will be accepted by the Canada Revenue Agency.
8. Acceptable use
You must not use LeaseVault to:
- Harass, threaten or unlawfully pressure a tenant, or to conduct an illegal eviction.
- Store content that is unlawful, defamatory or that infringes another person's rights.
- Attempt to access another account's records, probe or bypass security controls, or run automated scraping against the platform.
- Resell, white label or redistribute the service without written permission.
9. Data ownership, export and portability
You own the records you create. We hold them as your service provider and never claim ownership. You grant us only the permission needed to store, process and display those records so the service can function.
You may export your ledgers, receipts, expenses and documents at any time in standard formats such as CSV and PDF. On cancellation you keep export access for at least thirty days before records are scheduled for deletion under the retention periods set out in the Privacy Policy.
10. Availability and support
We aim for continuous availability but do not guarantee uninterrupted service. Planned maintenance, provider outages and events outside our control may cause downtime. Support is provided by email during Ontario business hours.
11. Data security and payment handling
Uploaded documents are stored privately and shared only through signed links that expire, and access rules are enforced at the database level so each account reaches only its own records. Subscription payments are processed by Stripe, a PCI-DSS Level 1 certified provider; card and banking details never reach LeaseVault. Full detail is in our Privacy Policy.
12. Limitation of liability
The service is provided on an as is and as available basis. To the fullest extent permitted by law, LeaseVault and R Matias 55 Studios are not liable for indirect or consequential loss, lost rent, lost profits, dismissed or delayed tribunal applications, tax reassessments, or regulatory outcomes arising from information you entered or from your reliance on automated calculations.
Where liability cannot be excluded, our total aggregate liability is limited to the subscription fees you paid in the twelve months before the event giving rise to the claim. Nothing in these terms limits liability that cannot lawfully be limited.
13. Indemnity
You agree to indemnify LeaseVault and R Matias 55 Studios against claims brought by a tenant or third party arising from your use of the platform, your entered data, or your handling of a tenancy.
14. Suspension and termination
You may close your account at any time. We may suspend or terminate an account that breaches these terms, that is used unlawfully, or where non-payment continues after notice. Where practical we give notice and a window to export records first.
15. Changes to these terms
We may update these terms as the platform evolves. Material changes are announced in the application before they take effect. Continuing to use LeaseVault after that date means you accept the updated terms.
16. Governing law and contact
These terms are governed by the laws of the Province of Ontario and the federal laws of Canada that apply there, and the courts of Ontario have jurisdiction. Questions can be sent to support@leasevault.ca.
